Resumo: The short-term volunteer programme of IN THE PALACE ISFF offers 25 young people from 7 different countries (Estonia, France, Jordan, Latvia, Portugal, Russia and Spain) the opportunity to get an inside touch of the organization and working process of three established short film events – 10th International Short Film Festival IN THE PALACE and its parallel programmes in film training PLUG-IN and industry meetings FILMER FORGE. 


The project is carried out by Format SFF Foundation (EI: 2010-BG-9) receiving organization and host to the programme. The duration of the project is four months and the volunteers arrive for one month (13th June – 13th July) in the city of festival location – Varna, in order to take part in the preparation and implementation of the festival and all its parallel events. The aim of the project is to allow young people interested in cinema to participate in the organization of these important events, while having access to all screenings, master classes, international debates and networking possibilities which the festival and the parallel programmes offer to industry guests and participants.

Perfil: he volunteers we are looking for have to be (1) of nationality different than Bulgarian; (2) interested in music, art, cinema; (3) communicative and enthusaistic and (4) to have a free command of the English language.

The call for volunteers will be distributed through our social network, though our mailing list, to all film schools around Europe, and through the European Voluntary Service network.
Every one, who meets the above-mentioned requirements, can apply for the volunteer positions.

Tarefas: Volunteers take part in the preparation and implementation of the festival and all its parallel events.

Since the activities related to the volunteers are inextricably linked with the educational aims of the festival, the volunteers will be encouraged to find for themselves which side event of the festival educational programme is most exciting and will be urged to attend the classes (workshops, lectures, seminars, working with producers, directors or musicians, etc.) and learn. This will give them the chance to feel the talent within and to develop their potential. Furthermore, it gives them the opportunity to decide if this is something they want to do for a living and presents them better job opportunities in the future.

By working in a young international team, the volunteers will get the chance to develop a set of various skills such as social skills or intercultural understanding and tolerance.

The volunteers we will host will be accepted as full members of our team and their role will not be just supportive. They will also perform the functions of co-organizars.

The volunteers will be involved mainly in administrative activities. Through day-to-day support the volunteer will gain fundamental knowledge about project management, intercultural skills and organizational management.

Yet, due to the liberal management style of our foundation, the ideas of all employees, including volunteers, have the chance to become real projects.

The activities our volunteers will participate in are related to the festival management. The volunteers, who are responsible for the film programme and the film projections, will manage the audinece flow, give away and check for passes, sell tickets, etc.
The volunteers, who will be responsilbe for the information centre, will deal with registering people, providing information, distributing catalogues, the festival programme, t-shirts, passes, etc.

The obligations of the volunteers for the music programme will encompass the whole organziational process during the visit of the music bands.

Lastly, the volunteers for the educational programme will perform all activities connected to implementing the successful conduct of seminars and workships.

Preparatory phase (13.06. - 28.06)

Volunteers are engaged in tasks related to the promotion of events, getting familiar with the atmosphere and the venues of the festival, and tasks, developing creativity in the fields of cinema, journalism, design and photography. Leading goal is to quickly adapt to the environment and to form a specific attitude for the upcoming events. Analysis and assessment of personal qualities and interests is also important, since based on them will be done the distribution in teams. Specific activities include:

- Getting familiar with the history, landmarks and location of the main venues of the festival events and places of public interest like airport, stations, hospitals, etc.;
- Communication with foreign partners, to promote the festival;
- Communication with filmmakers selected to participate in the festival programme;
- Translations to/from familiar languages of materials and correspondence related to the festival;
- Organising events promoting the festival and volunteering;
- Meeting with representatives of the local community; interviews with them regarding the upcoming event, filming short reports;
- Spreading of promotional posters and vinyls of the festival;
- Creating a short film presenting the involvement of volunteers in this "Youth in Action" project;
- Preparation of the main venues of the festival - branding with vinyls and stickers;
- Creating photo reports reflecting the activities of volunteers
- Preparation of written reports on activities and project work and leisure;
- Create original installation to promote the project, "Youth in Action'' programme and the festival;
- Administration of a communication channel in the social network "Facebook" and the platform for video sharing "YouTube", dedicated to the project and the volunteers involved;
- Getting familiar with the Festival programme - events, schedule, venues, lecturers, official guests, getting familiar with the film programme - titles, participating countries, themes;
- Rehearse in front of a camera short reviews presenting the film programme;

Phase of the actual conduct of events (29.06. - 07.07.)

The tasks of the volunteers in this phase are related to specific details in organizing events. Young people are divided into teams, as many of them serve on a rotating basis in order to explore in more detail the organization of a major international event, and to acquire more knowledge and skills. Specific activities:

- Promotion, operational support for screenings, lectures, receptions
- Implementation of final promotional wave – distribution of printed materials such as posters, promotional cards, programme, the administration of the communication channel in the social network "Facebook" and the platform for sharing videos "YouTube" of the festival; flash mobs and viral campaigns
- Control access to festival venues, information for the film programme, welcoming the audience of the festival, controlling access to the halls of screenings, welcoming the audience at the beginning of the screening block,maintaining the access only to accredited guests to indoor events and receptions, assistance in setting up the venues;
- Providing detailed information regarding all festival events;
- Welcoming the festival guests and participants, coordinating their accommodation and transport;
- Preparation of festival badges (related to learning specific technical skills) – editing pictures of people, entering personal information through Web-based platform, colour printing, lamination; Preparation of accommodation and accreditation materials;
- Sorting and ordering of festival materials (festival bags, catalogues, programmes, promotional materials, the festival partners) and their distribution to accredited festival guests;
- Preparation and compliance schedule with details of arrival and departure of festival guests;
- Assistance and support of special guests - members of the jury, newly arrived guests, representatives of film institutions, lecturers;
- Providing of information to visitors regarding the festival programme and the specific timing and role of the guest;
- Managing daily activities of the press department;
- Planning and managing promotional campaigns;
- Providing information on journalist inquiries;
- Schedule and organize interviews and press statements of the official guests of the festival;
- Participation as a co-moderator at conferences and sessions "Questions / Answers" by filmmakers;
- Preparation of press releases, publications, materials with facts and statistics about the festival;
- Creating a text presenting the titles and authors before each screening block;
- Presentation during the ceremonial opening and closing of the festival;
- Learning and practical application of skills in working with digital equipment;

Phase after the actual conduct of the events (08.07. - 13.07.)

- Support for departure of the official guests of the festival;
- Cleaning the festival locations;
- Implementation of post festival promotion campaign results;
- Self evaluation;
