Creating videos, posters, visual materials for youth information in the frame of Eurodesk Works



Tarefas: As we are already well experienced on volunteer management, we are able to involve and motivate EVS volunteers to our current works and projects.
As we always underline that "being volunteer is not sacrificing yourself". While the host organization benefit from the volunteer in terms of human resource, volunteer also should have benefits from the process mutually.
A non governmental organization which claims to add values to society cannot achieve goals without support of volunteers. But the most important issue is to clarify the roles and also the responsibilities clearly in order to not to have any further obstacles.
Just as the responsibilities of the volunteer, also the roles will be clear and volunteers will be expected to contribute our local project in a structured frame. EVS volunteers will be equally involved the project with the local volunteers. But it is important to note that EVS volunteers are not a human resource to run daily works of the organization such as cleaning, file carrying etc.

But beside the local project which will be run with the local volunteers and EVS volunteers, EVS volunteers are also welcome to contribute our organization with their own ideas and initiatives according to their talents. Our office is located in the very center of the city with capacity to organize training activities. We already appointed a large room with all facilities such as desks and chairs, computers and beamer, and also a small library. Also, for over ideas in terms of capacity, we are ale to arrange another alternatives This initiatives should also be able to be adopted in a pedagogical frame since we are an organization working on experiential learning. For this kind of initiatives, our coordinators and mentors will support and encourage volunteers to adopt the ideas in a frame.

Also volunteers will have a chance to get involved in our youth information activities. As Eurodesk Local Relay, we are going to start to work on a schedule at universities and high schools to inform young people about European opportunities and Eurodesk services. Upon their interest, they will be able to join the youth information activities.

Beside this currently we organize monthly "EVS Workshops" for those who are seeking for EVS opportunities.
Instead of giving the necessary web sites and databases and leaving volunteers alone, we realize a two days long workshop in a month which includes elements such as "Volunteerism, Civil Society and Active Participation, Intercultural Learning, Youth in Action Programme, CV and Motivation Letter and Project Searching".
All those workshops helps a lot to young people who are willing to attend in an EVS project. Hence, EVS volunteers also will be able to involve this activities with their own contributions and real experiences. Thus, volunteers will also be able to enlarge thier social environment during their service.

The main feature of this hosting project is the profile of the volunteers. Since DeM is an organization which is working directly for youth workers and youth organizations, the volunteers are going to be Young Youth Workers from the NGO's in Europe.

Condições: We already attended in two partnership building activities specifically on EVS. Also as an organization as a trainers who are actively working in Youth in Action, we already have strong partnerships and a wide network among Europe.
Thus, we would like to work the organizations which we already know in terms of their quality.
Also, we would like to organize a partnership building activity in order to enlarge our network and build strong cooperations between sending organizations.
Not just for EVS, we already have been using an online tool for gathering applications of interested people for our projects.
So, our plan is to update our database. First of all, we will become partners with the sending organizations and we will request them to publish our call among their networks. Then, interested candidates will apply online by uploading their CV's. In order to facilitate the process for interested volunteers, instead of asking for motivation letters, we will provide an online questionnaire where volunteers can describe threir motivation, their foreseen contributions and special needs.
After gathering all the applications till a specific deadline, we will announce a short list for those who will invited for a video call with our EVS coordinator. This invitation for the call will be designed as a youth friendly way in order to escape from worrying candidates. Our EVS coordinator will try to get information about the interests, family life, personal aims of volunteer. In case of need, volunteers will be allowed to get language assistance from a friend or a family member.

All the information about this meetings will be reported by EVS Coordinator and all DeM coordinators will get involved in decision making. The final list will be published on web site, facebook and twitter page and also candidates will be informed about the result by e-mail. A cheerful and encourager e-mail will be sent to rejected volunteers and they will be encouraged to apply next term.
After their arrivals, volunteers will direct to apply for permission to stay from Police Headquarters. After they get the permission, they will be directed to being registered in their districts. Hereby, volunteers will be registered legally.

They will be provided with a safe flat in city center nearby our office with 2 separate rooms, one living room, kitchen and bathroom. The flat will have necessary facilities such as television, washing machine, oven, refrigerator, kitchen equipments and wireless connection.
The natural gas which will be used for heating, oven and hot water will be monthly checked by service.
A burglar alarm will be provided before the arrival of volunteers to prevent from risk.

As we have many young followers, volunteers' social environment will consist mostly from the people that we already know. But volunteers' social environment will be monitored without creating a pressure. Volunteers will feel the team spirit and we aim to fill the gap in their lifes and we will not make them feel lonely and alone.

As we already do for the volunteers which we send, we will tell the hosted volunteers that crises might be occurred. But the main point is to have skills in order to overcome them. Volunteers will clearly understand the value of communication and dialogue among hosting organization and themselves.

An experienced mentor on youth work will be appointed for each volunteer. The mentors will be responsible not only for the learning outcomes of volunteers but also their comfort and motivation regarding to the project environment.
Also we will provide mobile phones for each volunteer and volunteers will be able to reach their mentors whenever they need.
Also necessary and emergency phone numbers will be provided.

As known, volunteers will be covered by AXA for their possible health problems.

Formação: Since our programme is already structured and well-working, we are able to offer learning opportunities such as:

Team Work:
Volunteers will be working as a part of a big team which is quite dynamic and young. Our volunteer profile mostly bases on university students and graduates so with the support of mentorship, volunteers will easily be adopted into the team and learn the value of team work. This experience as a part of an international team will add many values to their social competences.

Facilitation Skills:
Experienced trainers who are expert on experiential learning and non-formal education will provide sessions on facilitation skills in the frame of the training course which has been mentioned above. Volunteers will have chance to practise the gained knowledge and skills during their project.

Project Management:
Volunteers directly will get involved in the project management process starting from need analyses till the evaluation and monitoring. In the end of the project, volunteers will get new skills, knowledge about project management.

Intercultural Learning:
Volunteers will be a part of a big team and working in an intercultural team will gain new skills on working in a team which consist young people from different cultural backgrounds. This aspect also will be highly supported and monitored by mentors.

Turkish Language:
Language classes will be provided for volunteers. This classes will be organized by mentors.

Graphic Design:
During their service, volunteers will gain skills on graphic design. Since volunteers will be designing the promotion and visual materials with the support of MEDAP (Department of Media and Production) they will gain new skills and knowledges.

Online Tools:
All the works of DeM is being managed on a online project management system called "ZOHO".
For each project we create an account where users can also add milestones and see the process clearly, also gain monthly reports. Volunteers will use this efficent project management system and this process will raise their online competences.

Financial Management:
The local projects which will be realized by EVS volunteers and local volunteers will be funded by DeM's own financial resources. Just as a standart project propose, the volunteers are expected to submit their project propose including financial frame. Including implementation, monitoring, reporting, volunteers will be also responsible for financial management of the project. Thus, naturally learning outcomes related to financial management will come up.
